Williams Business College Limited, like all organisations operating in Australia, is bound by the National Privacy Principles and our obligations under the Privacy Act 1988 and the Privacy Amendment (Private Sector) Act 2000. Our Privacy Policy below shows the way in which we use and protect the personal information of our students, staff and clients, including those that are making enquiries about College services.

What personal information we collect

The personal information we collect depends on the service we are providing to you.

If you are enquiring about our services -- online, by phone, or in person -- we may collect and retain your names, address, telephone numbers, email address, nationality, and other information you provide to assist us in providing appropriate academic advice to you.

If you apply to be a student at Williams, we may also collect your date of birth, information regarding your payment of fees, personal preferences in relation to the conduct of your course, and information regarding your academic progress and record. International students must also provide us with passport and visa information and other details we are required to keep under the ESOS Act 2000 and the Immigration Act 1958.

Williams also collects and retains anonymous information about you when you visit our website or internal College networks or intranets. This includes the IP address you are using and statistical information on the pages and times you visited. This information cannot be used by us to identify you.

How we collect personal information

We collect and retain information:

  • When you make and enquiry or follow-up enquiries online, by phone or in person
  • When you enrol in a course with us
  • When you use one of our authorised educational agents, either in Australia or overseas
  • Resulting from your academic activities
  • Resulting from counselling regarding your academic activities, and regarding issues that impact on your academic activities
  • From third parties where you have provided the information or consented to our independently gaining the information, such as a previous academic record, financial information, or information from parents or fee-payers.

How we use personal information

Personal information gathered from you when making enquiries may be used:

  • To provide you with advice, information or brochures appropriate to the enquiry
  • To inform you of new courses or College information relevant to your initial enquiry
  • To enable us to improve our services by studying enquiries and the way in which we have responded to them

Personal information gathered from you when enrolling or as a student of the College may be used:

  • To provide, manage and administer your course and activities related to the provision of your course
  • To provide counselling on your academic progress and opportunities for your academic or career improvement
  • To conduct checks on academic materials you supply to us to support Recognition of Prior Learning applications
  • To research, review and develop our own courses
  • To provide information to any third parties, such as parents, that you have consented to
  • To check credit-worthiness, or, if your fees are paid by a third party, to discuss any aspect of the payment of those fees with the third party
  • To provide confirmation of your academic record on request from a Registered Training Organisation or registered Higher Education Provider in Australia, or their equivalent overseas

How your personal information is kept

Your personal information is kept on paper and/or electronically. As a student, your academic record is kept for a minimum of 30 years, as required of all Registered Training Organisations under the Australian Quality Training Framework. Your assessments are kept until the period allowed for appeal under the College's Code of Practice has expired. If you are enquiring about courses, your information is kept electronically until the year in which you indicate you may be interested in beginning the course has concluded, or unti the end of the year in which you enquired, whichever is greater.

Electronic records are kept on the College's computer network on campus, and in off-campus backups. The network is protected by security access and firewalls. No credit card details are kept electronically. Paper records are kept in secure facilities on-campus while you are a student, and in secure archives off-campus subsequently.

Disclosure of your personal information

Your personal information will only be disclosed as follows unless you indicate otherwise in writing:

  • To College staff as necessary in their performance of services to you
  • To College professional advisers, including accountants, auditors and lawyers
  • To regulatory authorities as required by law
  • To your educational agent if you apply for enrolment through an educational agent authorised by the College

Your access to your personal information

You have the right to access your personal information unless prohibited by law. Your request should be made, in writing, to the Registrar. Reissues of academic transcripts and documents are routinely available for a fee.

The College will periodically provide students with printouts of their personal and academic records. We ask that you advise us of any updates required to personal information such as address, phone numbers and email addresses, and of any apparent errors in your academic record.

Enquirers may indicate at any time if they wish to have their details removed from College records by emailing jorr@williams.edu.au.
